Employee time card The employee time card: what goes on it, what goes wrong, and what replaces it.

A time card, a timesheet and a time clock are three different things that people use as one word. Here is what each does, where cards fail, and how TimeUno builds the equivalent for people who work at a computer. It is not a punch clock.

Three words, three jobs

People search for an employee time card and land on pages about clocks, timesheets and payroll. They overlap, but they are not the same thing.

  • Time card. One person, one period. It records when work started and stopped and adds it up.
  • Timesheet. Hours grouped by client or project, with a description and often a rate. It explains what the time was for.
  • Time clock. The device or app that captures the in and out times a time card holds.

A card says how long. A sheet says what for. A clock is how the “how long” gets captured.

A schematic of how the three relate. It is not a measurement.

What a time card holds

The usual fields are:

  1. Name of the person, and sometimes an ID or a department.
  2. Period, such as a week or a pay period.
  3. Date for each row.
  4. In and out times, sometimes with a second pair for a split shift.
  5. Breaks, paid or unpaid.
  6. Daily hours and a period total.
  7. Notes, where a correction is explained.
  8. A signature or approval, from the person and a manager.

If you only need to lay this out, the free timesheet template has the same columns and the timesheet calculator works out hours from start, end and break times. Rules about what employers must keep differ by country and by role. This page is not legal advice, so check your local rules.

None of these is wrong. The right one is the one whose weak point you can live with.

Where time cards go wrong

The same mistakes show up in all three formats.

  • Missing punches. A person forgets to clock out. The card shows a 16-hour day or an empty one, and someone has to guess.
  • Edits without a trail. A manager fixes an entry, and nothing records who changed it, when or why. Later nobody can explain the total.
  • Rounding that drifts. Rounding every punch up or down adds a few minutes a day. Over a month it is a visible amount, in one direction.
  • Totals that do not add up. A break subtracted twice, or a shift past midnight counted as negative.
  • Cards built from memory. Filled in on Friday for the whole week, which means the numbers are estimates written as facts.

You cannot remove these with a better layout. You can reduce them by recording hours as they happen and by keeping corrections visible.

How TimeUno builds the equivalent

TimeUno is not a time card and not a punch clock. For people who work at a computer, it builds the same information a different way.

The desktop app (macOS 11+ and Windows; Linux is in testing) records the app and window title in front of you, idle time and the seconds with any keyboard or mouse input. It never records what you type. Time is then filed under projects and clients. Nobody clocks in or out, so there is no missing punch.

When you want the record for a period, you build a timesheet from it. Pick this week, last week or this month, and a client. You get one line per day or per work block, with hours and a description.

The editor: one line per day, hours and a description you can change.

Every line is editable. The Write descriptions button asks the AI to draft the descriptions, and you correct them. When the lines are right, Mark ready records your sign-off. Repeating drafts (weekly, every two weeks or monthly) have the next one waiting when the period ends.

Rounding, rates and export

Owners and admins set the currency, a default rate and rounding (none, 6, 15 or 30 minutes) in Settings. Rates can be set per client and per project, and per person on a Team plan. A project is billed Hourly, as a Fixed fee or as Non-billable. Members see hours only, never rates.

Timesheets export as CSV or PDF. The PDF carries the company name, address, tax ID and logo from Settings, Company details. You can also share a client approval link with an optional PIN and expiry, and the client can approve, reject or request changes.

TimeUno does not export to Excel, create invoices or connect to accounting software, and it has no payroll export. Open the CSV in a spreadsheet if you need to move the numbers on.

What admins see

On a Team plan, owners and admins see worked time, the productivity score and AI usage per person, with a trend. They never see anyone’s apps, sites, window titles or screenshots. Each person sees their own day in more detail, and can correct a stretch on the Timeline.

When a time card is still the right tool

TimeUno does not fit every setting a time card does.

  • Shift, field or counter work. If your people do not sit at a computer, you need a clock or a card. TimeUno has no mobile app.
  • Required clock-in records. Some places require them in a set form. TimeUno is not a certified time clock and makes no claim about legal requirements. Check your local rules or ask an adviser.
  • A strict paper process. If a signed paper card is the rule, it stays paper.

Pricing

There is no free plan. Every plan starts with a 14-day trial, a card is added at the start and it is charged when the trial ends. Individual is $14.99 a month ($10.49 billed yearly). Team is $19.99 per seat a month ($13.99 billed yearly). The timesheet template and calculator are free.

Questions people ask

What is an employee time card?

A record of one person's working time for one period, usually a week or a pay period. It holds the name, the dates, the in and out times, breaks, daily and period totals and a place for notes or corrections.

What is the difference between a time card and a timesheet?

A time card answers how long someone worked, and it is usually used for pay. A timesheet answers what the time was for, with a client or project, a description and often a rate, and it is usually used for billing.

Is TimeUno a time clock or punch clock?

No. TimeUno has no clock-in, no terminal and no punch records, and it is not a certified time clock. It records work on a computer on macOS and Windows and builds timesheet lines from it. If you must keep clock-in records, check your local rules.

Can I export a time card from TimeUno?

TimeUno builds timesheets, not time cards as such. A timesheet has one line per day or per work block with hours, and exports as CSV or PDF. The PDF carries the company name, address, tax ID and logo from Settings, Company details.

Can I round hours on the sheet?

Yes. Owners and admins choose rounding in Settings: none, 6, 15 or 30 minutes. Pick it deliberately and say which one you use, because rounding changes the totals.
